Event Support


The Southern Region UUA Administrative team will assist Cluster and Congregation events with the following support: 
• Set up and monitor registration • Publicize the event via the E-news, Calendar and Regional Website • Receive and deposit registration payments • Provide registration and payment reports to the event contact • Forward all funds received (net, less bank merchant service fees) to the cluster or congregation responsible for the event • Forward any questions from registrants/participants/speakers/vendors to the event contact

If your congregation or cluster is struggling with event administration, the Southern Region admin team can offer some guidance and support.

Here are the steps to request event support form the Southern Region admin team:

1. Discuss your planned event with your Primary Contact.
2. Familiarize yourself with our Youth Safety Policy and your event responsibilities (listed below the Event Support Request form).
3. Set up a time to discuss your needs with our Event Planner, Kathy Charles.
4. Return the Youth Safety Policy acknowledgement.


Cluster and congregational responsibilities when requesting Southern Region event support:


• complete an Event Support Request form

• secure a host venue 

• enlist any speakers, facilitators, presenters, vendors needed for the event (including the establishment of a fee agreement in advance, if applicable) 

• arrange travel for any speakers/facilitators/presenters (including travel reimbursement to trainers who handle this on their own) 

• pay any speakers/facilitators/presenters the agreed upon honorarium/fee in a timely manner (it is customary to pay these fees before the individual leaves your event) 

• arrange home hospitality & childcare for participants, if those options are offered to registrants

• pay all expenses on their own (the Southern Region will not make any payments other than sending the net registration fees received to the cluster or congregation responsible for the event) 

• manage all on-site, event-related logistics, communication, and programming content 

• comply with the Southern Region Youth Safety Policy and its requirements. All events supported by the Southern Region must comply with this policy.
